Although managing traditional lockers quickly becomes an unsustainable practice, requiring multiple full-time facility managers (1 full-time FM per 500 lockers) to undertake manual locker onboarding and ongoing management, e.g. handing out keys/codes, tracking, battery replacements, locksmith call outs, support, locker requests and trying to understand actual utilisation. Incognito Mode (No Personal Data, Off Your Network)
Completely anonymous, ensuring no PII (personally identifiable information) data required to run the system. No storage of RFID card numbers/credentials, system stores a protected hash. No involvement with the client network, by using Yellowbox's 'off-network' solution through a Yellowbox 4G router.
Seamless self-serve access through existing RFID swipe cards on touchscreen kiosk. System stores an anonymous User ID and protected hash. Additional PIN code access for users that forgot their card for the day.

Yellowbox Access and Management Software
Access Methods:
Both Wired and Wireless Locks can be accessed via RFID cards, PIN codes through a kiosk, a mobile app, smart wallet (Apple or Google Wallet) and Microsoft Teams.
Management Dashboard:
The system should maintain audit trails, locker allocation details, and provide necessary reports offering insights into locker usage.
Automation is key—user inclusion and exclusion must sync with Active Directory. Automated emails to ‘campers’.
Additionally, the system automatically sends notifications to both admins and end users upon locker bookings, parcel bookings and asset exchange bookings, including reminders if lockers are reserved but not used.

All Google Cloud Platform services used by Yellowbox are ISO 27001 and SOC 1, SOC 2, and SOC 3 compliant with several also having ISO 27017 and ISO 27018 certifications. Amazon AWS has certification for compliance with ISO/IEC 27001:2013, 27017:2015, 27018:2019, and ISO/IEC 9001:2015.
Data Protection
All login credentials and other sensitive user data such as phone numbers and email addresses are stored in encrypted form. Yellowbox services encrypt data in transit using HTTPS and logically isolate customer data.
Privacy
Yellowbox operates globally, maintaining GDPR requirements for all users. Put simply, all users retain the right to have control over how their personal information is collected and used.

Context
The London Stock Exchange Group put out a tender for a leading smart locker system provider to support LSEG’s current and future workplaces.
LSEG had adopted flexible hybrid working practices and had four primary objectives when looking for smart locker technology (on the right).
Solution
Yellowbox has provided a flexible, future-proof and time-saving smart locker system, across LSEG’s portfolio of workplaces around the world (over 5,000 lockers deployed globally).
Staff have flexibility to use multiple access methods (mobile app, RFID card, PIN), and types of lockers (e.g. permanent, hot and team lockers). The system is future-proofed with Active Directory Integration, RFID card integrations and global management. Yellowbox saves a significant amount of time and manual processes through automated onboarding and offboarding, self-serve booking and providing intelligent features to manage utilisation.
Each workplace also uses an optimal ratio of staff to lockers, driven by data and the recommendations by Yellowbox based off the office desking policy. This creates savings in number of lockers required and floor space.
