How do smart lockers work?

Smart lockers combine three things: electronic locks on each locker door, IoT hardware such as touchscreen kiosks and RFID readers, and management software that controls access and policies. Employees use their chosen access method to book and open a locker, while workplace teams use the dashboard to manage locker types, automate onboarding and offboarding, monitor utilisation, run audit trails, and remotely assist users when needed.

Today's workplaces are more hybrid and collaborative than ever with employees no longer having their own permanent desk, workplaces need to provide secure, personal storage. That is why lockers are an essential part of the modern workplace.

What are hot lockers, and how do they work?

Hot lockers are temporary lockers with a set booking duration or expiry time. They are designed for day/week use or short-term storage, such as storing a bag, coat, gym gear, or personal items while an employee is in the office. These locker types allow workplaces to provide storage lockers for employees when they need it, especially when there isn't enough space for a locker per employee.

Yellowbox allows workplaces to configure time-based expiry rules for hot lockers, notifications and the ability for employees to book lockers in advance, helping workplaces provide efficient storage for their employees.

What locker types does Yellowbox support?

Yellowbox supports a wide range of locker types so workplaces can match storage to different use cases. These include permanent or flex lockers, hot or temporary lockers, team lockers, shared lockers, visitor or PIN lockers, parcel lockers, asset exchange lockers, and custom locker types. This lets organisations mix long-term personal storage with short-term, shared, or operational storage in the same workplace.

Yellowbox’s workplace data also shows that in multi-access workplaces, RFID remains the most commonly used method, while mobile access helps reduce issues caused by forgotten cards or codes.

Yes. Yellowbox’s wireless smart locks are designed for retrofit projects and can be installed into existing locker banks, which makes them a practical option for workplaces upgrading older storage without replacing all locker joinery. Yellowbox also supports new fit-outs with wired locks, so organisations can choose the approach that best matches their site, budget, and rollout plan.

Question 11

How does Yellowbox work for users?

Users can book and/or open their Yellowbox locker using their mobile phone (via Yellowbox app, Company App, Web, Apple/Google Wallet), RFID Access Card, Keypad Code or Touchscreen.

Through the Yellowbox App, Web App or Company App, users can sign into their account, book a locker (choose locker bank and size), and open (tap of a button). Users can track which locker they have, how long they've been using it, access support and open multiple times, with the choice to set a keypad code to open their locker without their phone.

Using the RFID access method, users can tap their card on a reader on the side of the locker bank and it will automatically open their assigned locker. If they don't have a locker assigned, users can be allocated one (with choice of size via a screen).

Question 12

How does Yellowbox work for managers?

Yellowbox lockers can be managed on-the-go through an onsite management app and managed from afar through the dashboard.

The Management App is a master key to open, view status and manage lockers. You can see an audit trail of opens, battery levels (if wireless), set accessibility settings, monitor hoarding behaviour and raise tickets (24/7 user and manager support).

The Dashboard allows managers to onboard users automatically, allocate lockers to users (setting permanent/temporary), toggle location settings, send instruction emails to allocated users, track utilisation data and everything in the management app and more.

Yellowbox ensures both users and managers have a seamless experience when using the Yellowbox locker system.

How do I specify or purchase the Yellowbox system?
